Let’s face it, we’ve all heard it: “You need to be using a project management system!”
So, you finally made the investment — whether it’s Asana, ClickUp, or Monday.com. You opened an account, invited your team, and even started using it to keep tabs on a few of your bigger or more long-term projects.
But now, a few months in, your business still feels chaotic and disorganized. WTF, right?! Where’s the clarity and efficiency everyone promised? How come nothing’s changed (other than adding more to your already full plate)?
This isn’t a post to tell you that you’ve been duped and deceived. The truth is, that project management systems are meant to make your life easier. The catch?
You have to use them right.
Why having a *good* project management system matters
Having a project management system isn’t just about crossing another “necessity” off your business to-do list. It’s crucial for running your business well, especially as you grow — whether by expanding your team or increasing the amount of people you’re serving through your courses.

Red flags you aren’t using your project management system correctly
What good is a system if you’re not using it correctly? While you can measure the effectiveness of your PM system by how you feel, you can also tell it’s not working by looking out for these red flags.
Red flag #1: You’re the only one using it
If you’re the only person on your team using your PM system, it is 100% not living up to its fullest potential. A project management system isn’t just about organization; it’s about visibility, especially for you as the CEO!
Siloing workflows mean things slip through the cracks. What are you going to do if someone is out sick? Or wants to take time off?
A system that includes everyone helps your team truly work together to support each other, no matter what’s in the pipeline. With a few clicks, you should be able to see what each team member is working on, what’s coming next, and the overall progress of projects.
Red flag #2: You still keep a separate to-do list around
If you still feel the need to use a separate to-do list, you’re not using your PM system to the best of its abilities. I know you love that sticky-note lineup you’ve got under your monitor, but I don’t think I need to tell you that it’s not very efficient.

A great PM system allows you to plan ahead. Whether you’ve got a course launch, a big event, or quarterly goals to hit, you should be able to map out the next three months no problem.
This helps you:
- Stay on top of key deadlines
- Assign responsibilities
- Visualize your timeline and adjust as needed
If this feels impossible with your current setup, stop, drop, and roll. Try and figure out what’s causing the bottleneck, and work hard to fix it so that your system CAN do the work for you!
