How to Build an SOP Manual for Your Small Business
Being a CEO is fun. The thrill of the big ideas, the impact, the connection with your audience. There’s nothing like the rush that comes from a brilliant new idea popping into your head — even if it’s at 2am when you’re trying to sleep.
These are often the best parts of being a CEO. Like I said, it’s fun…until it’s not. Like when your team member tells you they’re leaving. Or you suddenly need to take a few days off while your kid is home sick. And if you’re not prepared for those moments, you end up with chaos you’re going to need a shovel to dig your way out of.
That’s why I talk so much about systems here at Byte Bodega. Because you can’t build a (successful) business without a solid foundation of systems.

My #1 Tip for Creating an SOP Manual
Maybe not knowing the benefits of SOPs isn’t what’s stopping you. Maybe it’s not knowing where to take the first step.
My number one tip? Start small. Don’t try to document every single thing in your business overnight. Focus on documenting the most critical processes first – the ones that cause the most headaches when they go wrong or the ones you want to delegate ASAP.
Set a small goal of creating one SOP per team member per week. It’s a way for the team to slowly chip away at them one at a time, but also ensures a few are created/maintained weekly. You’ll have a full library in no time!
Steps to Building Your SOP Manual: Let’s Get Tactical!
Okay, you’re in. You’re ready to get that SOP manual built and breathe easy again. How do you do it?
Step #1: Define Roles and Responsibilities
Before you document how things are done, make sure you know who is doing what. Clearly outline what each team member is responsible for. This avoids overlap, confusion, and those awkward conversations I know you don’t want to have.
Step #2: Identify Key Processes
Now, think about the most important processes in your business that need to be documented. The thing that, if left incomplete, would cause a huge break in your business.
These could be anything from onboarding a new client to publishing a blog post, managing customer inquiries, or even your end-of-month financial procedures. It’s different for every business, even ones in the same niche. So get specific and think about what this process is for you.
Step #3: Document Each Process
This is where the rubber meets the road. To document the above and turn it into an SOP, you’ll need to:
- Use clear, concise language. Pretend you’re explaining it to someone who has never done it before. Avoid jargon and be specific because you don’t know who might be helping you with this task/project in the future.
- Break it down into manageable steps. What are the individual actions required to complete this process?
- Include screenshots or videos where applicable to make instructions crystal clear.
- Note common pitfalls or troubleshooting tips for each process. We all know technology has a mind of its own sometimes!
Step #4: Choose the Right Tools
Your tool stack can make or break how taxing your SOP implementation feels. Here are my suggestions for keeping things simple and manageable:
- Project Management Platforms: Tools like Asana, ClickUp, or Notion can be great for outlining steps and assigning responsibilities.
- SOP Creation Tools: Consider using tools specifically designed for SOPs like Loom, Tango, or Scribe. Tango, for example, can automatically track your steps as you perform a task and create an SOP in minutes.
- Client Management Systems: Dubsado, Honeybook, and similar platforms can help automate client-facing processes.
Step #5: Store and Organize Your SOPs
You’ve done the work of documenting. Yay! Now you need to make sure your team can actually find what they need!
Use a system that is easily accessible to your team. This could be a dedicated folder in your cloud storage, a section in your project management tool, or a dedicated knowledge base.
Then, organize SOPs logically. I know, I know, duh. But seriously. Make it as easy and as clear as possible to find them. Consider organizing by department, role, or specific process. Use clear naming conventions so everyone knows where to look.
Step #6: Review and Update Regularly:
Your business evolves, and so should your SOPs! Set yourself a task to update them either quarterly or annually, depending on how quickly things change in your business.
And if possible, get feedback from your team to improve them. They’re the ones using these procedures daily, so their insights are invaluable. What’s confusing? What’s missing? Make it a collaborative effort!
